Summary
The Sr. Education Specialist will provide administrative management of Cardiology Educational Conferences related to the Pauley Heart Center's outreach efforts. This individual will be responsible for overseeing and coordinating all administrative affairs, with strategic management of daily operations as a primary purpose. This position manages a regulatory-compliant, effective, and efficient CME program, from data gathering through facilitation of events. Examples include (not exclusively) International Cardiovascular medical and research conferences (both CME accredited and non-CME accredited); weekly sub-specialty conferences, monthly cardiology grand rounds and periodic community events. This position also facilitates outreach efforts through teleconferencing and educational events such as journal clubs and special lectures; plans and implements all activities related to community and scientific symposiums. This role will act as a project manager for multiple events each academic year. This will include conference site evaluations related to space, itinerary, food selections and housing. For their planned events, this individual will manage all budgeting considerations and interact with the finance coordinator and administrative Director of the PHC. This role encompasses providing technical knowledge as well as implementation of all CME functions to ensure effective education and training is provided within the ACCME standards. The incumbent must establish and grow effective relationships with staff, faculty, leadership, donors, and Cardiology stakeholders, manage multiple organizational structures and manage various systems/policies, and execute several off-hours conferences while providing superior customer service. The position is responsible for the planning and development of all education events/programs (planning, organizing, marketing and evaluation of all CME activities). This position will also recruit and supervise an assistant to facilitate there meeting arrangements.
Typical Duties
Community Outreach and Engagement (40%):
-- Facilitate and support the integration of cardiovascular education in the areas of general cardiology, CV imaging, heart failure, and electrophysiology with external institutions (e.g. Bon Secours, Cardiology Associates of Virginia, Centra, etc.), as well as 15+ academic institutions within the state and nationwide/internationally. Currently over 1,880 registrants exist across the program.
-- Facilitate the creation of partnerships for community engaged teaching, research, and service activities by running and overseeing the Pauley Heart Center and local organization RVA Reads initiative.
-- Conduct regularly scheduled meetings with Pauley Heart Center Leadership, Marketing and Provider Outreach Team.
-- Research and implement new ways to market our professional education programs in order to raise institutional visibility and increase attendance externally. This initiative will coincide with the new marketing expert.
Program Management (40%)
-- Provide strategic development and programming for conference attendees to obtain continuing education credits.
-- Responsible for planning and the strategic implementation of the Dr. Carolyn McCue Award for Woman Cardiologist of the Year.
-- Organize and run weekly Cardiology Grand Rounds
-- Manage the planning and execution of Heart Health in Women Symposium as well as launch a new similar conference for the public.
-- Plan two large international conferences hosted by The Pauley Heart Center of VCU in Richmond and Williamsburg, VA for the first time
Event Planning (20%)
-- Oversee the compliance of event space, catering, and production company contracts and ensure timely vendor payments
-- Plan and Schedule Pauley Heart Center staff events for the PHC Wellness committee
Typical Education and Experience
-- Master's Degree in Education or Teaching
-- At least 10 years' experience in Event Planning and Marketing
-- At least 4 years' experience working in higher education
-- At least 3 years' experience with Continuing Medical Education Credits
-- Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
-- Ability to work independently under limited supervision
-- Comprehensive knowledge of assigned service or functional area
-- Experience in developing and implementing educational and outreach programs preferably in a higher education setting
-- Strong organizational, managerial and supervisory skills
-- Previous experience developing and implementing short and midterm planning
-- Ability to independently make strategic decisions, generate innovative ideas and solutions, and multitask due to a wide variety of tasks and constantly changing contexts
-- Superior communication and interpersonal skills with the ability to establish and maintain excellent working relationships with a wide variety of constituents
-- Demonstrated experience working in community engagement, non-profit management, and/or volunteer coordination
-- Demonstrated clear understanding of, and commitment to, the University's enduring purpose
