The Valley Metro Human Resources team is seeking a self-motivated, reliable, and experienced Administrative Assistant II to perform a wide variety of responsible administrative duties related to the programs and operations of the Human Resources Division. The successful candidate will be service oriented and possess strong attention to detail while working in a fast-paced work environment.

High School diploma or GED equivalent, supplemented by specialized administrative course work in office and business practices AND three (3) years of administrative support experience. Equivalent combinations may be considered and will be evaluated based on the information provided in your application.
Desirable skills:
- Administrative experience in human resources setting
- Highly Proficient with Microsoft Office Suites (Word, Excel, Outlook, PowerPoint)
- Familiarity with using HCM systems and Applicant Tracking software
Background Investigation: Employment is contingent upon the results of a background check. Positions may require: Valid Arizona Driver's License.
EXAMPLES OF DUTIES / KNOWLEDGE & SKILLS

Performs on-site administrative support activities and coordinates various administrative processes and events within the human resources division.
Maintains regular attendance and punctuality. Provides a high level of administrative support to the Human Resources Director and division managers. Serves as first point of contact in the division for inquires by employees, applicants, and the public; processes employee requests and provides relevant information. Proofreads and checks documents and other materials for accuracy, completeness, and compliance with departmental policies and regulations. Organizes meeting logistics for managers including special events and other division projects; ensures that communication and all necessary materials are prepared in advance and details are provided to all meeting attendees. Assists in new-hire onboarding setup, including but not limited to creating ID badges, preparing new-hire checklists, establishing personnel folders, compiling orientation materials, and sending out Agency notices. Maintains personnel files, forms, documentation, and information, including hardcopy and electronic documentation; participates in the records retention and maintenance functions by receiving, verifying, organizing, and processing documents. Provides administrative support with recruitment activities including placements of job advertisements and coordination and scheduling of candidate interviews. Reconciles division procurement card purchases, coordinates the purchase of supplies, initiates purchase requests within the purchasing system, and receives goods and services within the purchasing system. Ensures conference rooms, kitchen, and other shared space on the division floor are kept clean and organized in conjunction with other administrative assistants. May cover on rotation basis for front-desk reception. Performs other duties of similar nature and level as assigned. Knowledge of: Correct business English, including spelling, grammar, and punctuation. Customer Service principles. Standard office practices and procedures, including filing and the operation of standard office equipment. Standard office computer software (Microsoft Office products, Word, Outlook, Excel, PowerPoint, Adobe). Record keeping principles and practices. Skill in: Providing excellent customer service. Maintaining electronic databases. Prepares a variety of business correspondence and reports. Operates office equipment, including computers and associated software, copier. Prioritizing work and completing tasks in a timely manner. Schedules and coordinates meetings and events. Handles confidential information with discretion. Provides customer service. Establishes and maintains effective work relationships with staff, coworkers and the public. Performs multiple tasks simultaneously. Maintains a variety of records, files, and documents. Contributes effectively to the accomplishment of the team or work unit goals, objectives, and activities.
PHYSICAL DEMANDS / WORK ENVIRONMENT
Mobility to work in a typical office setting and use standard office equipment, vision to read printed materials and a computer screen, and hearing and speech to communicate in person or over the telephone. May be required to drive a motor vehicle to drive to other Valley Metro local business sites.
