Space & Utilization Planner
JOB SUMMARY
The Division of Facilities Planning & Management (FP&M) is a full-spectrum service organization that builds, maintains, and operates the physical environment of the UW-Madison campus in support of the university's education, research, and outreach activities. FP&M works behind the scenes to coordinate campus planning, manage design and construction, maintain and operate buildings and grounds, supply utility services, ensure health and safety, and provide parking and transportation services.
The Space Management Office collects and maintains university space and utilization information, and works with schools, colleges, and divisions to identify and plan for short- and long-term space needs. This position will document program requirements, create preliminary planning concepts, and coordinate implementation as needed to ensure programmatic needs are met and space is used efficiently.
This is what we are looking for:
[1] Space programming and preliminary concepts: Work with schools, colleges, divisions, and departments to identify and document space program requirements and create/revise space concepts and test fits accordingly. Engage in departmental- and leadership-initiated space requests from start to finish. Work with the Space Management Office and the Real Estate Development and Administration unit to review and prioritize space needs and propose solutions. Coordinate space prep and relocation details as needed.
[2] Short- and long-range space planning: Understand campus and school, college, and division facility priorities and propose ideas with documentation to support decision-making. These may be short-term plans for the next 1-2 years, or long-term plans looking 6 to 10 years ahead in coordination with the State of Wisconsin biennial capital budget process, the UW-Managed capital program, and in-house remodeling teams. This work includes the creation of space programs, origin-destination charts, blocking diagrams, and related documents.
[3] Space utilization analysis: All space planning is done to ensure program requirements are met while maximizing space efficiency. The incumbent will contribute to the development and revision of campus space utilization guidelines and will analyze existing and planned utilization to ensure it meets those targets. Prior experience consuming or producing data analysis is a plus but is not required.
[4] Coordinated planning: Participate in and contribute to the coordinated planning environment within Facilities Planning & Management. Understand project delivery paths and collaborate across units to produce space plans that align with UW-Madison and FP&M strategic priorities and the campus facilities framework.
Additional Information
This position may require occasional travel outside Madison, Dane Country, or the State of Wisconsin to UW-Madison facilities and/or other institutions.
RESPONSIBLITIES
Coordinates the physical inventory systems, performs data and analysis on space utilization, facilities planning, open space design, and/or transportation planning, and reviews and makes recommendations on improvements in support of efficient use of both indoor and outdoor university facilities initiatives.
- 10% Schedules logistics and secures resources and information to identify, assign, and acquire space for institutional use
- 10% Analyzes, audits, and updates facility records
- 50% Reviews, evaluates, approves, and provides recommendations for facility improvements, space assignments, and proposals utilizing best practices and established policies and procedures
- 25% Reviews space requests and models test fits and facility options for massing, scale, and impact to university facilities per the Campus Master Plan
- 5% Investigates options for potential future development based on unit facility master plans and the overall Campus Master Plan
EDUCATION

QUALIFICATIONS
Required:
1. Minimum 5 years experience programming space use or design, space utilization analysis, or related fields
2. Experience leading facility programming projects and teams
3. Proficiency with AutoCAD, Revit
4. Excellent organizational skills and attention to detail
5. Ability to handle sensitive information
Preferred:
1. Bachelor's degree in Interior Design, Architecture, Planning, or a related field
2. Ability to align programmatic space needs with strategic priorities
3. Effective oral and written communication techniques
4. Ability to organize, evaluate, and present information effectively.
5. Knowledge of Higher Education Facilities Inventory Classifications
6. Knowledge of the administrative structure and functional requirements of facilities in higher education
7. Ability to manage complex sequential projects with multiple stakeholders.
8. Experience and/or knowledge of data analytics
9. Experience and proficiency using MS Excel
10. Skill and commitment to providing quality customer service.
SALARY
Minimum $70,000 ANNUAL (12 months)
Depending on Qualifications
The starting salary for the position is $70,000 annually but is negotiable based on experience and qualifications.
