Purpose of Position
Reporting to the Director of the Adult and Transfer Center and Testing Services, the Administrative Specialist services in the following roles: Maintains all budget activities, procurement, pro-card balancing, and fiscal management of testing services, including funds for ACT, CLEP, DSST, and another national testing; Certification to administer the various academic/national tests. Supervises accommodated exam process and assist students with accommodated exams; Provides front-line service to examinees, which includes the NKU community and region; Provides administrative support to the Director and other professional staff; coordinates daily registration and cash operations for Testing Services; assists the Director registration process and data management; collaborates with IT/BW team to run current data of students; attends resource fairs to promote Testing Services and the Adult and Transfer Center.
Primary Responsibilities
Office Management:
- Utilize and reconcile all budget expenditures, contract services, grant accounts reconciliation, and procurement through SAP.
- Assist students, faculty, staff, and guests with information pertaining to Testing Services, the Adult and Transfer Center, and NKU in general.
- Maintain and distribute all Testing Services forms, flyers, memos, confirmation letters, maps, and parking permits.
- Assist students needing accommodations to access the appropriate resources within the University and outside agencies.
- Provide extensive administrative support to the Director, including drafting and maintaining correspondences and maintaining the Director and Professional Staff calendars.
- Provide general administrative support to the department's professional staff, including mail, copies, messages, fielding calls, etc.
- Serve as the Key Designee for the department (request, pick up and return building keys). Registration and Data Management
- Coordination of Academic test registration process for the National ACT, Residual ACT, CLEP, DSST, NKU Placement Tests, PRAXIS, Specialties tests (i.e., national licensure exams.)
- Run reports in SAP and verify student enrollment, GPA, and retention.
- Coordinate the collection, balance, and deposit of all cash and credit card transactions for Academic Tests within the department
- Assist with maintaining and monitoring the departmental budget, revenue, and foundation accounts.
- Reconcile all Pro-card purchases and SAP fiscal management.
- Order data reports from Information Technology for scoring reports for each ACT Residual exam.
- Check and maintain office supplies inventory.
- Recommend the purchase of office equipment.
- Create, maintain, and reconcile the Federal Student Employee budget monthly electronically and in hard copy form.
- Create, maintain, and reconcile monthly the department revenue budgets for ACT, Accuplacer, CLEP, DSST, and all other Academic Testing electronically and in hard copy form.
- Develop and maintain student employee records with the Office of Financial Assistance.
- Maintain departmental information and statistics for mid-year and end-of-year reports.
- be a certified administrator of the various academic/licensure exams offered (i.e. Praxis, ACT, CLEP, DSST, Accuplacer, Residual ACT, Comira, Kryterion, Castle, Placement testing, etc.)
- Assist department professional staff with special projects.
Five years of responsible experience or an equivalent combination of education and experience.
Effective computer skills with a knowledge of university-supported software.
