Job Summary:
As an Assistant Service Manager/Service Writer, you will serve as a key point of contact for customers seeking vehicle service. Your role will include managing customer inquiries, creating repair orders, providing estimates, scheduling service appointments, and assisting with the daily operations of the service department. You’ll work alongside our service technicians and leadership team to ensure a smooth and efficient process that leaves our customers satisfied.
Responsibilities:
- Greet and assist customers in a friendly, professional, and timely manner.
- Create accurate and detailed service orders for customers' vehicles, ensuring all necessary information is captured.
- Provide customers with estimates for parts and labor, explaining services and recommendations.
- Coordinate service appointments and communicate with customers regarding the status of their vehicle repair.
- Keep customers informed of any changes or additional work needed while their vehicle is in service.
- Manage the workflow of the service department to ensure efficient operations and minimal delays.
- Collaborate with technicians and service managers to prioritize repairs and ensure timely completion.
- Handle customer inquiries and concerns, providing excellent customer service to resolve issues promptly.
- Maintain a clean and organized work environment, ensuring all documentation is up to date and accurate.
- Process payments and handle billing for services provided.
- Assist the Service Manager with daily administrative tasks, including ordering parts, managing inventory, and maintaining records.
- Promote additional services and maintenance offerings to customers when appropriate.
Qualifications:
- Previous experience in automotive service writing, customer service, or a related field is preferred.
- Knowledge of automotive repair processes and terminology is a plus.
- Strong communication and interpersonal skills, with the ability to interact professionally with customers and team members.
- Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Detail-oriented with strong problem-solving abilities.
- A friendly, customer-first attitude with the ability to remain calm under pressure.
- Ability to work in a fast-paced environment while maintaining accuracy and efficiency.
- Familiarity with shop management software and basic computer skills.
