Business Services Specialist (Building Inspection)

The Business Services Specialist is the main point of contact for residents and other stakeholders communicating to the Building Inspection division. This position has primary responsibility for incoming phone calls, emails and customer contacts, and a focus on providing quality customer service and satisfaction. In addition, this position is responsible for managing the website, social media and other communications at the direction of the Director of Building Inspection. Excellent time management skills and the ability to prioritize and complete tasks in a high-pressure and fast paced environment are critical for this role.

Essential Job Functions

- Provides customer service in a timely manner via several means which include email, face to face interaction, and telephone.
- Receive, handle, and/or direct phone calls to appropriate personnel
- Receives and schedules requests for services such as customer complaints and inspections.
- Acts as a liaison between customers and staff in order to enhance the overall customer experience.
- Analyzes complaints from customers and provides adequate resolutions, or redirect to appropriate department/agency.
- Develops and maintains vast knowledge of the services provided by the Division.
- Develops and maintains Division presence on social media, city website, and other forms of mass communication.
- Support Division’s mission to provide education and outreach within the community to empower residents.
- Coordinate Division purchasing & code invoices.
- Process purchase order and purchase card transactions, permit payments and refunds, and Division payroll.
- Perform special projects as requested.

Requirements of Work

A high school diploma is required. A minimum of one year of experience in a clerical or customer service-related role is required. Training or coursework in bookkeeping, accounting, or business preferred; or any equivalent combination of training and experience which provides the following knowledge, ability and skills: Knowledge of - Microsoft Office suite applications and comfort working with various software including financial software, spreadsheets, databases, and word processing.
Ability to - Work autonomously, in team/collaborative environments, and cross-functionally with other departments/divisions.
- Manage projects, prioritize tasks and have strong attention to detail.
- Establish and maintain relationships with diverse populations at all levels of the organization, outside vendors/client representatives/peers and the public, and ability to relate effectively with people of varied academic, cultural, and socio-economic backgrounds using tact, diplomacy, and courtesy.
Skill in - Active listening, critical thinking, problem analysis and problem solving; written/verbal communication skills; ability to tailor the message, context, and mode of communication to the audience.
