Job Summary
The purpose of this position is to perform the day-to-day duties of the municipal court. This includes but not limited to clerical support, administrative tasks and customer service. This is an LTE position working 20 hours per week with the possibility of becoming a full-time opportunity in the future. Preferred schedule would be 9am – 3pm Tuesday, Wednesday, Thursday, but can be flexible.
In-person Interviews tentatively scheduled the week of February 27, 2023.
Anticipated start date on or after March 20, 2023.
Essential Job Functions
- Attends municipal court in absence of Municipal Court Clerk and records minutes and/or dispositions for each case. Prepares forms as directed by Judge.
- Prepares and sends default letters, pretrial and trial notices, and proceedings notices.
- Prepares operating-while-intoxicated (OWI) forms. Sends OWI information to Department of Transportation (DOT) and to the Assessment Facility. Also, reports Ignition Interlock Device orders to DOT.
- Compiles information and then sends refusal (OMVWI) hearing letters to the City Attorney’s Office.
- Compiles information for each case for pretrials and then sends the information to the City Attorney’s Office each week.
- Receives a daily payment report from the PD and enters forfeiture payments in court system. Also prepares Monthly Financial Report at the end of each month.
- Dockets initial court appearances, pretrials, and trials.
- Compiles and reports driver license suspensions for failure to pay forfeitures to the DOT.
- Maintains confidential juvenile records.
- Processes appeals, transfers, substitutions, and requests.
- Completes citation information and submits dispositions electronically to DOT via the TiPSS Court System.
- Schedules court proceedings and maintains the court calendar.
- Files traffic and ordinance citations, and other court records. Maintains computer records and processes court updates as required by TiPSS Court.
- Compiles court activity statistics and completes reports.
- Provides information to City Attorney, Judge, law enforcement and defendants regarding court matters in-person, and via mail, email, and telephone.
- Provides dispositions to the Sun Prairie Star after court proceedings.
- Maintains knowledge of municipal ordinance code and court policies and procedures.
- Word-processes a variety of materials.
- Maintains certifications and pursues continuing education related to clerk of court functions.
- Assist with scanning and filing of City documents into the City’s records management software.
- Other duties as assigned
Requirements of Work
Must be a bondable individual. Experience within a law office or legal experience is preferred.
High School Diploma with two years of accounting, clerical, or customer service experience. Training or coursework in bookkeeping, accounting, or business preferred; or any equivalent combination of training and experience which provides the following knowledge, ability and skills:
